Privacy Statement

Your privacy is important to the Fryske Akademy (FA). This privacy statement tells you which personal data the Fryske Akademy collects, how it is processed and for what purpose.

When it comes to privacy, the Fryske Akademy has formulated a number of objectives that are:

 

Privacy policy

The Fryske Akademy is aware of its responsibility when processing personal data. The Fryske Akademy wants anyone whose personal data are processed by it to be able to trust that this will be done in a careful and lawful manner. The Fryske Akademy processes personal data in accordance with the General Data Protection Regulation (AVG) and the resulting privacy regulations.

 

Basically, what personal data does the Fryske Akademy record?

The Fryske Akademy processes personal data only when necessary for a specific purpose. The purpose determines which personal data should be processed and for this purpose no more than necessary will be requested.

Depending on the purpose, the following personal data may be processed: name, address, place of residence, e-mail address, company data, gender, date of birth, account number and curriculum vitae.

For our newsletters, for example, your e-mail address is requested at the time you wish to subscribe. We then use your e-mail address only for those services you have subscribed to.

 

On what basis does the Fryske Akademy process personal data?

The Fryske Akademy only processes your personal data if there is a legitimate basis. Depending on the purpose, personal data are processed because:

- you give your consent to this;

- it is necessary for the implementation of an agreement concluded with you;

- it is necessary to comply with a legal obligation

- it is necessary to protect your vital interests;

- it concerns a task of general interest;

- the Fryske Akademy has a legitimate interest in doing so.

If the Fryske Akademy processes personal data on the basis of consent given by you, you will always have the opportunity to withdraw your consent. The Fryske Akademy will no longer process your personal data from then on.

 

Purposes

The Fryske Akademy processes your personal data primarily for the purpose of implementing its objectives.

For this purpose, the Fryske Akademy collects personal data so that the following activities can take place:

- be the science centre for Fryslân and provide a forum for scientific debate and the exchange of scientific information in order to function as a scientific institution;

- maintain international scientific relations and participate in international scientific organisations.

The Fryske Akademy also processes one or more of your personal data for the following purposes (depending on which activities apply to you):

- to be able to assist and inform you about specific research and/or collection issues;

- to perform its role as employer;

- to collect relevant data for the purpose of (specific) scientific research;

- to communicate with you by sending electronic newsletters, e-mails and/or post;

- to meet financial obligations;

- to answer your questions via social media, e-mail, by post or by telephone;

- to improve our website.

 

Security of your personal data

The Fryske Akademy secures your personal data to prevent misuse and unauthorised access to your personal data.

 

Retention period of your personal data

In principle, personal data are not kept longer than necessary to fulfil the purpose for which the personal data are collected. Personal data in documents covered by the Archives Act 1995 are stored in the manner and for as long as prescribed by this Act.

In cases involving archiving in the public interest, scientific or historical research or statistical purposes, personal data may be stored for a longer period. If this is the case, the Fryske Akademy will take appropriate technical and organisational measures to protect your rights in accordance with the AVG.

 

Passing on to third parties

The Fryske Akademy will only pass on your personal data to third parties if there is a legal obligation or basis for doing so as referred to in Article 6 of the AVG.

If the Fryske Akademy shares your personal data with a third party, it will safeguard your privacy rights by concluding a processing agreement which sets out how your personal data are to be handled.

 

Third-party websites

This statement does not apply to websites of third parties which are linked to our website by means of links. The Fryske Akademy advises you to read the privacy policies of these third-party websites carefully.

 

Exercising your privacy rights

You may submit a request to the Fryske Akademy to exercise the following rights:

- right to inspect your personal data;

- right to rectification and/or supplementation of your personal data;

- right to have your personal data deleted;

- right to restrict the processing of your personal data;

- right to data portability;

- right to object;

- right not to be subject to a decision based solely on automated processing, including profiling.

If your personal data are processed for archiving in the public interest, scientific or historical research or statistical purposes, the law places restrictions on, among others, your rights to access, rectification, restriction of processing and right to object. Additionally, in the case of processing for archiving in the public interest, your right to transferability of your personal data is also limited. In addition, for the Fryske Akademy, the duty to notify data subjects within this context does not go without saying.

Personal Data Authority

The Fryske Akademy will work with you to find a solution if you have a complaint about the processing of your personal data. If this does not lead to a desired result, under the AVG (privacy legislation) you have the right to file a complaint with the Personal Data Authority.

 

Changes to this privacy statement

The Fryske Akademy may amend this privacy statement. Changes will be published on the KNAW website. Any changes made to this privacy statement will never be in breach of the AVG and the privacy rules arising from it.

 

Cookies and IP addresses

The Fryske Akademy uses cookies insofar as these are necessary for the operation of the website and to view the quality or effectiveness of the website.

The Fryske Akademy uses a statistics programme to analyse which pages are visited most frequently, how visitors arrived at our website and which search terms are used in our search engine.

To this end, like any website, we collect IP addresses of our visitors. These are stored in so-called log files. The log files are kept for six months for security reasons only and are only viewed for that purpose.

The Fryske Akademy has taken measures to limit the traceability of visitors to our website as much as possible. We do this by discarding the IP address immediately after importing log files for statistics.

We do not provide personal data to third parties, unless this is necessary to report criminal offences.
